Chairsyde Privacy Notice
As an organisation, Precision Dental Clinic is committed to delivering the highest quality patient care. To enhance the efficiency of our services, our clinicians may use Chairsyde during your appointment.
What is Chairsyde?
Chairsyde is an Artificial Intelligence (AI) tool which transcribes clinical conversations between clinician and patient in real time to produce written clinical notes, eliminating the need for the clinician to take manual notes during your appointment. This will allow your clinician to focus solely on you and your treatment. The information captured is reviewed and approved by your clinician before being saved to your dental records.
Chairsyde also acts as a case presenter and can demonstrate treatments recommended by your clinician through animations.
The programme does not have any influence or impact on the decisions made by your clinician in relation to your oral health. It does not make any treatment recommendations or clinical decisions. Your clinician retains full control and responsibility for all advice and treatment planning.
Benefits of using Chairsyde:
- Improved standard of appointments: allows your clinician to focus solely on you, the patient, during your appointment
- Enhanced patient understanding: animates clinician recommended treatments and highlights the key elements such as procedure information, risks and costs of treatment
- Accurate documentation: helps create precise, clear, and detailed clinical notes for the patient record in real time that can be reviewed and edited as needed, supporting better clinical decision-making
- Consistent data capturing: standardises the way clinical information is recorded, reducing variability and errors in data entry
- Optimised efficiency: streamlines administrative tasks, giving clinicians more time to spend with their patients.
Types of Personal Data Processed
Chairsyde processes the following types of personal data during appointments:
- Patient Information: this includes audio recordings capturing the patient’s voice as well as the patient’s name (and title), contact details, medical history, diagnosis, treatment information, and any other information shared during consultations.
- Clinician Information: this includes audio recordings capturing the clinician’s voice and any professional identifiers, such as names and titles.
- Third Party Information: this includes audio recordings capturing the voice of any other party in the room and information that they share.
Lawful Basis for Processing with Chairsyde AI
- Performance of a public task
- To comply with our legal obligations as a provider of dental health care services
How we protect your data
Patient privacy and comfort are our top priorities.
Chairsyde only processes information discussed during your appointment. The device will only be worn by the Clinician and will be activated only when they want to take notes. The default position of the device is off. As it records conversations between the clinician and you, as the patient, it will pick up anything that is discussed, including personal information and information shared by anybody else in the room. It processes speech transiently for transcription and retains only the generated text which remains available to the clinician with Chairsyde for documentation and reference purposes. The consultation voice recording is automatically deleted once the transcription has been successfully processed and verified by the clinician. This ensures that no unnecessary audio data is retained beyond what is needed to generate the transcript. Chairsyde does not otherwise store or process identifiable voice data and cannot recognise or identify individuals from their speech. This design ensures compliance with GDPR principles of data minimisation and privacy by design.
At the start of your appointment and before using Chairsyde for the first time, your clinician will explain its role and ask for your permission to use it at that appointment and going forwards. At subsequent appointments, they will remind you it’s being used to ensure you’re still happy for that to happen. If you would prefer for Chairsyde not to be used, please let your clinician know so they can make sure it’s not activated during your appointment. It will be noted in your records that you declined the use of Chairsyde, ensuring it is not used at any future appointments. You can opt into (or out of) the use of Chairsyde at any time.
